Group records need a scope
A group transcript can mix decisions, jokes, join or leave notices, replies, and unrelated media across months or years. Define the people, time window, keywords, and attachments that matter before you export. This prevents a reviewer from receiving an enormous file with no path through it.
Who? Note display names and number changes.
When? Check the requested start and end dates.
What? Keep enough surrounding messages to explain each exchange.
Check labels and system events
Participant names come from what is visible in the WhatsApp export. A display name is not independent identity proof. Group rename events, participant changes, encryption notices, and deleted-message markers can appear in the transcript; treat them as part of the source rather than ordinary speech. Search a sample from each important participant and verify it against WhatsApp before relying on the PDF.
Build a navigable handoff
A searchable PDF is useful when the reader needs chronology and context. CSV is stronger when they need to filter participants, dates, or message types. In either case, keep the original TXT or ZIP.
